Google Is Showing Fewer PDFs. What Manufacturers Should Do

Google is showing fewer PDFs in search, even from sites like IRS.gov. Manufacturers with PDF-only spec sheets, white papers and install guides lose buyers first. Put each document on a web page and keep the PDF as a download.

Google is showing fewer PDFs in search results. ChatGPT and other AI tools almost never cite them. If your spec sheets, white papers and install guides only exist as PDFs, buyers can’t find them.

Sites with real authority took the hit too. Searches for IRS forms like the W-9 and W-4 started showing other websites and IRS web pages instead of the IRS PDFs. Some New York State forms dropped out the same way. That comes from Search Engine Roundtable’s report on the PDF drop, a site that tracks Google changes daily.

One marketing VP reported that their top PDF went to 0 impressions overnight. Their 2 best PDFs had pulled about 10,000 impressions over the 3 months before.

When site owners asked, John Mueller, a Search Advocate at Google who answers site owners’ questions, replied “I’ll take a look.” No explanation followed.

Why PDF-only content hurts manufacturers most

Manufacturers keep more of their best content in PDFs than almost any other kind of company. Technical drawings, certifications, installation guides, spec sheets and white papers often have no web page behind them.

The engineer searching your part number or your technical topic doesn’t know that. They see whatever Google shows them.

If your PDF isn’t there, the RFQ goes to a competitor whose specs are typed on a web page.

A PDF also gets handled differently from a web page. Google converts each PDF into a format it can index, then assumes the file won’t change and checks back far less often. Google hasn’t published how often.

On Google’s own podcast, Mueller said only that it won’t refetch a PDF “every couple of minutes,” according to PPC Land’s write-up of Google’s PDF episode. Update a spec in a PDF and buyers may see the old one long after you’ve changed it.

Do ChatGPT and AI search cite PDFs?

ChatGPT and other AI tools rarely cite PDFs. Across 19,279 answers from 5 AI tools, only 80 cited a PDF, according to AmICited’s study of PDF citations, a company that tracks AI citations.

That’s fewer than 1 answer in 200.

Video did better than PDFs in the same count. AI tools cited a video in 2.6% of answers, more than 6 times the PDF rate.

AI tools quote the passage that answers the buyer’s question. A spec written out in text, next to its part number, is easy to quote. The same spec on page 14 of a catalog PDF rarely gets used, so the AI tool quotes a page it can read.

What to do about Google showing fewer PDFs

1. Give every important PDF a web page first

Build a page for each spec sheet, white paper or guide a buyer needs to find in search. Put the specs, dimensions, ratings and part numbers on it as text. Keep the PDF as a download on that page, for the buyer who already found you.

2. Check your PDFs in Search Console

Search Console shows exactly which of your PDFs lost impressions, so you know which web pages to build first. It’s free, and the check takes a few minutes.

How to check your PDFs in Search Console:

  1. Open Google Search Console and go to Performance, then Search results.
  2. Click Add filter, choose Page, and enter “.pdf” under URLs containing.
  3. Click the date range, open the Compare tab, and compare the last 3 months with the previous 3 months.
  4. Open the Pages tab and sort by the biggest drop in impressions.

Every PDF near the top of that list was showing up for buyers 3 months ago, and now it isn’t.

Build those pages first.

3. Don’t wait for Google to explain

Some IRS PDFs started showing again within days, and the W-9 PDF is back at #1 on Google. The IRS is the federal government, and Google noticed fast. A manufacturer’s spec sheet won’t get that attention. “I’ll take a look” is all the explanation anyone else got.

Picture your sales meeting 6 months from now. Someone asks why fewer engineers are calling about your best product line. The answer could be spec sheets that stopped showing on Google, and a competitor’s page that took their place.

Putting specs on web pages is a step forward in improving SEO for manufacturing companies. Specs locked in PDFs are a common problem we see on manufacturing websites.

Check your own site in 5 minutes

Search Google for 3 of your part numbers and 1 of your white paper topics. Does a page of yours show up, or only someone else’s? Then open a Temporary Chat in ChatGPT, so the answer isn’t personalized to you, and ask who makes your best seller.

If your technical content is still PDF-only, you’re one Google update away from disappearing for the engineers and buyers searching for what you make. Let’s talk about moving your document library to the web.

Questions we get

Why did my PDF stop showing up in Google?

Google started showing fewer PDFs in search results, and Google has not explained why. Site owners saw PDF impressions fall to 0 in Search Console while the same topics kept showing web pages. If a PDF has no web page with the same content, nothing of yours shows up in its place.

Can ChatGPT read my PDF spec sheets?

ChatGPT can open a PDF, but it almost never cites one in its answers. ChatGPT cited a PDF in 35 of 5,119 answers in AmICited's count, under 1%. Put the specs on a web page as text so ChatGPT, Gemini and Google's AI answers can quote them.

Should I delete my PDF spec sheets?

No, keep your PDF spec sheets as downloads. Engineers and purchasing managers still want a file to save, print and send to a contractor. Put the same specs on a web page first, then link the PDF from that page.

How often does Google recrawl a PDF?

Google recrawls a PDF far less often than a web page, because it expects a PDF to stay the same for a long time. Google's own team recommends a new filename when you update a PDF, so the new version gets crawled as a new file. A web page you edit gets picked up much faster.
